The (SPOT)light Top Ten – April

Every month we upload all records to the NIHR accruals system that contain the minimum essential data, and you will all have now received emails letting you know how many of your records meet these criteria. So to say a big thank you to those sites with the highest percentage of records meeting this standard then here is the (SPOT)light top ten for April!

Minimum dataset for a (SPOT)light visit

We are uploading accrual data for each hospital at the beginning of each month. There is a minimum required dataset for (SPOT)light, and if the data is not present on the record, the accrual will not count towards your monthly figures. The minimum information we require are:

Demographics

  • First name
  • Last name
  • Date of birth
  • Hospital number
  • Postcode (or confirmation that postcode is unknown)

Visit details and outcome

  • Level of care on arrival
  • Level of care on departure
  • Visit outcome (regarding further review)

Vitals (either a value or confirmation that the measurement was not made)

  • Systolic blood pressure
  • Heart rate
  • Oxygen saturations and FiO2
  • Arterial blood gas PaO2
  • GCS or AVPU
  • Platelets
  • Bilirubin
  • Creatinine

Getting the junior doctors to help …

A common issue for sites participating prospectively is that the junior doctors may see patients without being aware that they should be submitting data for (SPOT)light.  This is more of a problem when outreach cover is not 24/7.

One site has had a very innovative solution which they have kindly agreed to share …

“I have now produced a postcard size referral form that will be used on all patients that are seen by the on call registrar. I have incorporated all the necessary bits of information that cannot be obtained retrospectively, the things I have missed off are lab results &  bits of patients details as these are easy to obtain at a later date & take up space on the form.

My rationale for making it postcard size it that the doctors can fit a few of the forms in their pocket, we  have trialled it over the weekend & the doctors have been very positive about it.

I have succeeded on getting them on board with the promise that if they complete referral forms on all patients I will produce a report on the number of patients that they are seeing overnight & at the weekend, the workload on the registrars at night is an issue here & they are trying to present a case for additional cover at night & this hopefully will assist them with this.”

It’s really great for us to hear how sites are tackling such issues, and how committed people are to making the study great.  So thank you all!

 

 

Grace period for patient data submission

Please note that we will be operating a 6 week grace period for submission of patient data for (SPOT)light.  If 6 weeks elapses without patient data being submitted then we will assume that the site is no longer able to participate.

We will try and contact you in advance, but please let us know too if for any period there will be a delay in your submissions.

Important: Site recruitment deadline

All sites must be ready to submit data by Monday 31 January 2011.

The study needs to run for 12 months (to cover seasonal variation) and the combination of our funding expiring, the 90 day follow-up required, and the time required for analysis means the study must close on 30 January 2012.  This means that we need sites to start collecting and submitting data by next week.

If you were not aware of this deadline for any reason, or if you think you will be unable to meet it then please get in contact with us at spot@icnarc.org as soon as possible.

Dataset Familiarisation Course postponed

Unfortunately, due to the adverse weather conditions (and concerns about travel arrangements), we have had to postpone the course scheduled for Monday 6th December until the New Year.  We will be in touch via email with some new dates as soon as these have been confirmed.

(SPOT)light is live (Hooray!)

The (SPOT)light web data entry system is live!

If you wish to practice using the facility without fear of harming records, or you need to train a colleague how to use the web portal then you may instead access the training site.

You will need to be register as a (SPOT)light user to gain access to both of these sites – this can be done via the main ICNARC site.  Please be aware that the process of registering your site for (SPOT)light will take a minimum of 24 hours the very first time. Similarly, adding a new user to a site will also take a minimum of 24 hours.
